Job Summary:

Under general direction, this position manages a team of hourly and salaried non-exempt individual contributors. This individual will possess a high-level ability to make time-sensitive decisions regarding the mailroom operations and regulations, manage multiple competing priorities, and work in a fast paced environment. The position requires experience in Print/Copy, Mailroom Operations and managing a team.

Job Description:

  • Designing performance planning and staff development strategies for administrative employees. Providing professional guidance as appropriate.

  • Developing, implementing and enhancing policies and procedures to improve the operation and effectiveness of the organization's administrative activities.

  • Directing and managing budgets, project proposals, and business trends across all administrative functions.

  • Providing technical and professional advice or knowledge regarding various administrative areas of responsibility.

  • Developing quality, low cost point-of-purchase for supplies and materials.

  • Developing and maintaining print and mailroom procedures for efficient and cost-effective service. Managing all copy and offset print production, both in-house and outsourced.

  • Establishing inventory policies and maintaining levels of all printed materials within established guidelines and budget

  • Updating equipment, processes and services to meet the needs of the business. Reducing print and copy costs by directing business to the most efficient print vehicle.

  • Manages office-related purchasing through company approved programs and processes. Ensures accurate and timely payment.

  • Managing the operations of the mailroom.

  • Shredding of confidential documents.

  • Ensures organizational rules and specifications are implemented within the print production function.

  • Initiates requests for bids, customer quotations, and purchase orders for vendors. Ensures that all customers are satisfied with prints delivered; enhances customer relations.

  • Coordinates all aspects of print production, such as printing specifications, cost analysis, and schedules.

  • Liaises with vendors and the print production environment; contributes to vendor selection and determines processes.

  • Manage onsite company store/inventory control.

Qualifications:

Minimum Qualifications:

  • High School/GED with 7-10 years of relevant professional experience (including: Print/Copy, Mail Operations, and/or general operations), with 3-5 years of direct management experience

  • Must possess high level of customer service experience

Preferred Qualifications:

  • Bachelor’s Degree with 5-7 years of relevant professional experience (including: Print/Copy, Mail Operations, and/or General operations), with 3-5 years of direct management experience
