Job Description Summary:

The incumbent’s responsibility is to establish purchase avenues with suppliers for the maintenance department through a formalized ‘request for quotation’ (RFQ) process. The incumbent will post RFQ process approvals, purchase maintenance parts, materials, equipment and supplies from vendors. The incumbent will also participate in set-up teams at new terminal locations and closing teams during terminal shut downs. Incumbent will manage corporate and terminal parts inventory with an average worth of over $17MM, manage shipping department and control parts list assignments for 13,000+ tractors and 180,000+ units of trailing equipment. The incumbent will also be expected to maintain an impartial and ethical relationship with vendor representation as well as attain the most competitive position on the highest quality products for JBHT.

Job Description:

  • Supervise quoting of all tractor aftermarket part, trailer aftermarket part, janitorial and tooling programs.

  • Oversee inventory management at all JBHT locations.

  • Manage an effective core retention and return program. Monitor and review all core return credits.

  • Through an established RFQ and approval process, select sources of supply, negotiate prices, terms and conditions, challenge product specifications, and establish long term competitive procurement commitments. Maintain contacts with suppliers.

  • Prepare specific cost analysis reports for management review and maintain inventory records via established software systems.

  • Monitor and allocate all Freight charges to proper cost centers related to parts shipping. Where deemed appropriate recover shipping costs from responsible party.

  • Review purchased transportation invoices for entire JBHT fleet maintenance system for pricing irregularities, resolve found discrepancies with vendors.

  • Establish invoice billing cycle terms per JBHT guidelines with all vendors for all JBHT locations.

  • Approve new vendor forms to facilitate new sources of supply. Submit necessary documents and information to accounts payable for credit approval and account setup.

  • Monitor cost code purchase orders for entire corporate system tooling repairs.

  • Interface with contracted outside auditing firm and internal audit to insure corporate compliance to federally mandated Sarbanes Oxley Accounting Standards and Procedures.

  • Advise and direct field terminal maintenance parts management on analysis and disposition of overstock parts and tooling items. Coordinate return according to policy. Review and apply credit from vendor.

  • Participate in parts leadership group teleconference meetings to evaluate and direct field parts personnel on proper procedure and handlings of day to day job duties and incurrences.

  • Prepare agenda for weekly subordinate staff meeting. Complete weekly meeting to inform staff of recent company activities, direct immediate and future activities. Produce and distribute meeting minutes for meeting.

  • Manage Tractor and Trailer Tracking Systems ordering and refurbish items.

  • Attend weekly tractor and trailer MFG meetings to discuss all related issues, campaigns, tooling and modifications to equipment.

  • Attend corporate Terminal Maintenance Safety Teleconferences; assist in sourcing of new item prototypes for Director Corporate Safety review. Upon approval, distribute and implement new items, educate field personnel in proper usage.

  • Advise and authorize corporate field maintenance personnel on; source and part numbers, source and phone number for local repairs.

  • Monitor fulfillment of Shipping Department stock orders and backorders in local JBHT warehouse and oversee field location performance of the same.

  • Other duties, as assigned.

  • Oversee personnel who manage tool replacement and repair programs. (Sourcing of replacement tools, manage repair tools from field, receipt of tools, proof of deliveries, etc.)


Bachelor’s degree from four-year college; five years related experience and/or training; or equivalent combination of education and experience and 24 months management experience.
